How to check an Amazon supplier before ordering

Compare supplier identity, specifications, samples, landed costs and purchasing evidence before committing to an Amazon inventory order.

A low quotation is only one part of a sourcing decision. Before sending a deposit, establish who you are buying from, what the supplier will deliver and how you will verify the order. Wholesale resale and private-label manufacturing need different checks.

Amazon's public wholesaler guide recommends supplier research and validation. Its branded-product guidance also highlights authentic sourcing and applicable selling permissions.12 Check eligibility for the specific product before buying stock; a persuasive supplier presentation cannot establish marketplace approval.

Verify the business relationship

Record the supplier's legal business name, contact details, location and payment beneficiary. Ask who manufactures the goods, who invoices the order and whether an intermediary is involved. Resolve mismatches through independent checks and genuine business documentation before proceeding.

For branded wholesale, request evidence of the legitimate supply chain and any relevant authorization. Preserve original invoices and communications. Do not edit a supplier document to make it appear to meet a requirement that the transaction did not satisfy.

Write a product specification

Replace vague descriptions such as premium quality with observable requirements. Depending on the product, specify materials, dimensions, finish, quantity, packaging, markings and acceptable tolerances. Identify what needs specialist testing for the destination and who will commission it.

For example, two storage-box quotations may look comparable until one includes thicker material, individual packaging and carton labels while the other does not. A shared specification makes the difference visible before price negotiations.

Inspect a representative sample

Keep a sample decision log with photographs, measurements, issues and approval conditions. Compare the sample against the written specification. Agree what happens if production differs and who has authority to approve a change.

A sample is evidence about that sample. It does not prove that every unit in a future batch will be identical. Set appropriate inspection checkpoints and engage a suitable independent provider when the product or order warrants it. If an agency coordinates inspection rather than performing it directly, its scope should say so.

Compare landed cost and cash terms

Use a supplier comparison that includes unit cost, packaging, minimum order quantity, tooling, testing, inspection, freight assumptions and payment stages. Add duties, taxes and local handling where applicable with qualified support. Use the same currency and delivery basis for each option.

An illustrative quotation of $4 a unit may be more expensive in the final destination than a $4.40 alternative with different packaging and freight terms. Separate known amounts from estimates. Do not make a purchase decision from an attractive unit price with the other fields blank.

Start with a controlled purchase decision

Summarise unresolved questions, the evidence received and the person approving the order. Choose a test quantity based on demand, cash and operational risk. A sourcing project should leave you with an understandable decision record.
